Human Resources Assistant

Job description
Job Title          : Human Resources Assistant
Reports to           : HR Officer
Duty Station        : Amman, Jordan
Position Type      : Full Time
General context of the project
INTERSOS is an independent humanitarian organization that assists the victims of natural disasters, armed conflicts and exclusion. Its activities are based on the principles of solidarity, justice, human dignity, equality of rights and opportunities, respect for diversity and coexistence, paying special attention to the most vulnerable people.
KEY RESPONSIBILITIES
Under the direct supervision of the HR Officer, the HR Assistant will be responsible for:
  1. Recruitment/New Hire Process:
  • Participating in recruitment processes
  • Posting job ads and organizing resumes and job applications
  • Scheduling job interviews and assisting in interview processes
  • Collecting employment information
  • Ensuring background and reference checks are completed
  • Preparing new employee files
  • Overseeing the completion of compensation and benefit documentation
  • Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
  • Organizing induction process for newly recruited staff with the support of the Senior HR Assistant 
  1. Record Maintenance:
  • Maintaining current HR files and databases
  • Updating and maintaining employee benefits, employment status, and similar records
  • Maintaining records related to grievances, performance reviews, and disciplinary actions
  • Performing file audits to ensure that all required employee documentation is collected and maintained
  • Preparing various employment letters
  • Following up and keeping a complete record of expat related documents (employment contracts, payslips, lease agreements, passports, flight tickets etc..).
c. Leaves Management
1. Supporting the Senior HR Assistant in following up and managing staff leaves.
 Qualities of Competent HR Assistants
To effectively perform the duties of a human resources assistant, individuals must be able to demonstrate a number of competencies that are essential to the position, which include:
  • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
  • Must possess strong interpersonal skills
  • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
Qualifications
  • Bachelor’s degree in Business Administration, Human Resources or any related field
  • Minimum 1 year of experience in Human Resources
  • English/ Arabic proficiency
