The Syrian American Medical Society Foundation (SAMS Foundation) is a nonprofit organization formed in 1998 by the medical professional diaspora. Its mission is to save lives and work to ensure a healthier future for all through medical relief and healthcare development on behalf of Syrian American healthcare professionals. SAMS Foundation is a leading advocate for a comprehensive approach to disaster relief and the protection of health systems in the Syrian conflict.
The Logistic assistant will provide administrative and logistics support to the Syrian American Medical Society (SAMS) regional office in Jordan. The assistant will be responsible for the day-to-day administrative support functions for the regional office and support SAMS’ regional programs, including procurement and logistics support for response SAMS’ programs inside Syria.
Issue reference numbers for purchase/expense and payment requests once are received
Support Medical Missions’ needs (Consumables, Stationery and transportations… etc.) in coordination with Medical Mission Officer.
Prepare and conduct purchase request to pay bills of utilities and rents for SAMS’ offices and cars.
Prepare rent contracts for all SAMS’ offices, warehouses and Medical Facilities, organize and archive contracts files both manually and electronically and follow up the financial payments for the contracts.
Prepare accurate reports for senior logistics officer as needed.
Monitor fuel consumption rate in coordination with the programs and the procurement.
departments, and archive all needed documents (Proof of delivery, Log sheets, etc.).
Arrange hotels reservations and ensure that all aspects of transport services such as Air Travel and Ticketing Agency services, Transfers and Taxi services are working together on a timely basis for SAMS’ visitors and Medical Missions’ Volunteers.
Supervise and follow up logistic staff’s (Drivers and Workers) tasks and make sure that everything is properly accomplished.
Support and maintain communication with Logistics’ personnel in other SAMS’ offices (Irbid, Ghouta and Dar’a) to ensure that all logistics’ needs are being covered.
Maintain communication with warehouse staff.
Perform other duties as assigned.
Bachelor’s degree in supply chain management, engineering, statistics, economics or relevant field.
At Least 2 years of experience as a Logistic assistant in a related context.
Excellent in written and spoken English and Arabic.
Excellent command of computer skills.
Strong organizational and coordination abilities.
Ability to work with little supervision and track multiple processes.
Strong interpersonal, communication, and presentation skills.
