Place in the Organisation
The incumbent is responsible to the Registrar and Alumni Officer (RAO).
Primary Duties and Responsibilities
In accordance with Agency policy and procedures, the incumbent:
·         Assists RAO in all matters related to the admission and registration of students  including receiving, checking and processing their applications in accordance with established criteria;
·         Follows up and maintains registration records and files of students;
·         Drafts reports on students attendance records and assists RAO in preparing technical and administrative reports in accordance with  relevant regulations for internal and external use;
·         Follows up and collects students grade records and prepares reports thereon as required;
·         Maintains data entry of student’s basic information and marks records on Student Registration System (SRS);
·         Supports the preparation of graduation process, including filling required forms and documents, extracting data and performing the required analysis;
·         Assists RAO in preparing, reviewing, issuing and authenticating students certificates;
·         Acting for the Registrar and Alumni Officer during the latter absence;
·         Performs such other duties as may be assigned.
Minimum Qualifications
·         Two years’ post-secondary diploma in business and office practice or related discipline.
·         At least four years’ experience in administrative/management work of which at least two years should have been in an educational environment.
·         Good command of written and spoken English and Arabic.
Competencies
·         Excellent  communication skills;
·         Good report writing skills;
·         Proficiency in conducting statistical analysis using relevant computer software and other applications including database management tools;
·         Ability to cope with multiple tasks effectively;
·         Proficiency in standard Agency computer applications;
·         Ability to work under pressure.
Desirable Qualifications
·         Bachelor degree in Business Administration, Computer Science or any subject related to TVET programs.
ADDITIONAL INFORMATION
 Ability and willingness to work beyond regular working hours.
Equivalency
When the minimum requirements are not fully met, the concerned Director may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.
NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.
