Administrative & Accounting Assistant

Background:  Global Communities (GC) is an international non-profit humanitarian and development organization that works closely with communities worldwide to bring about sustainable changes that improve the lives and livelihoods of the vulnerable. GC is providing emergency humanitarian assistance in Southern Syria to individuals displaced by the conflict. GC is seeking a full-time Administrative & Accounting Assistant to support office administration and human resources from its base in Amman, Jordan. This position reports to the Human Resources Coordinator with task management from the Senior Finance Coordinator.

Responsibilities:

  • Record and manage petty cash.
  • Assist the Senior Finance Coordinator with booking entries into the accounting system.
  • Follow tasks instructed to carry out with banking services.
  • Assist in obtaining visas, work permits, and travel itineraries for staff and visitors.
  • Arrange for accommodation and transport for staff and visitors.
  • Ensure timely payment of rent, utilities, phone, Internet, equipment, and supplies.
  • Manage incoming and outgoing calls.
  • Provide translation support.
  • Assist in organizing trainings and meetings.
  • Work closely with all departments.
  • Maintain historical human resource records using a filing and retrieval system.
  • Maintain confidentiality and professionalism for all personnel paperwork, records, and issues.
  • Ensure GC compliance to all applicable laws and policies.
  • Other duties as assigned.

Qualifications:

  • A Bachelor’s degree in human resources management, public administration, or a related field.
  • A minimum of 1 year of experience in HR and administration, preferably in support of a humanitarian assistance response effort or with a non-governmental organization.
  • Familiarity with accepted HR practices and procedures.
  • Self-motivated, demonstrated capacity to work effectively in a fluid operating environment with minimal supervision.
  • Strong analytical and problem-solving skills.
  • Computer/word processing and standard office software skills.
  • Fluency in English and Arabic, both written and oral.
