Admin Assistant

Since the beginning of the unrest in Syria at the start of 2011, Jordan is now hosting more than 625,000 registered refugees who have fled the violence in Syria. The prolonged crisis and continued arrival of refugees in Jordan has continued to put a strain on Jordanian infrastructure and essential services. This is felt most keenly in the urban areas where around 83% of Syrian refugees are living.

IFRC initially launched a regional appeal to support National Societies in Lebanon, Iraq and Jordan in their assistance to Syrian refugees. In October 2014 IFRC Jordan launched its own appeal with the intention of providing services to both Syrian refugees and vulnerable Jordanians mainly in the fields of cash assistance and community health education.
This position was primarily created to support the administration unit at IFRC office-Amman .

Job purpose: General Support to Administration Unit.
Job duties and responsibilities:
1. Liaise with office suppliers to ensure office stocks are in place ie. Mineral water, stationery, toners, groceries etc.
2. Ensure that the office automation are in good working conditions (to work closely with the IT officer) and be able to operate the equipment’s
3. Ensure that the office space is well maintained and kept clean, neat and tidy
4. Ensure circulation of relevant information, reports, memos to all units/ representations in a timely manner
5. To prepare Purchase Requisition and Purchase Order forms for procurement and arrange for signature
6. In-charge of monitoring the Federation’s membership or, magazine subscriptions, and others
7. To liaise with service providers on telephone line, broadband subscriptions, etc.
8. Coordinating and arranging visa applications
9. Assist in booking of flight tickets and accommodation whenever required
10. Tracking of Telephone calls and ensure that reimbursement of personal calls are collected from personnel
11. Interpretation for the Delegates, from English to Arabic and vice versa when requested
12. Translation of documents in writing from English to Arabic and vice versa when requested
13. Ensure the preparation of a `Welcome’ package for each arriving staff /delegate, to include information about the country and general information
14. Organize Briefing schedule for the office visitors when needed
15. Responsible for the filing system for Administration unit
16. Documentation management including preparation, tracking and ensuring proper filing systems is in place for the Office.
17. Help and support in finance UNIT in preparing the regular office payments.18.Support the office of HOD.
Duties applicable to all staff:
1. Actively work towards the achievement of the Federation Secretariat’s goals
2. Abide by and work in accordance with the Red Cross and Red Crescent principles and Code of Conduct
3. Perform any other work related duties and responsibilities that may be assigned by the line manager4. The above job description can be altered accordingly as and when required by the Head of Delegation services to include any revised job function.

المهارات

Education Bachelor’s Degree – Business Administration or any related field.
Experience:
One year of experience in Administration / Support Services
Experience in working for Red Cross Red Crescent / NGOs preferred Finance Experience
Languages:Fluently spoken and written English.
