Summary of Duties:
Under the supervision of an Immigration Officer, the Immigration Program Clerk will support the processing of a variety of immigration categories (e.g., visitor visas, family reunification, and refugee selection).
Key activities:
• Provides routine information and assistance to internal and external clients to facilitate their compliance with requirements, or their understanding of application processes.
• Enters and validates information in departmental on-line systems.
• Reviews applications and documents, identifies shortcomings including incomplete applications, missing, or irregular information.
• Processes fee payments and prepares documents for refunding of fees.
• Maintains filing system, uses internal systems and accesses departmental websites to search or track information.
• Utilizes office equipment such as a computer, photocopier, scanners, fax machines, specialized printers, biometric capturing equipment, and telephones.
• Researches internal and external sources to support information gathering for the processing of the file or application and to support program integrity.
• Provides assistance and guidance to colleagues and shows new employees how to perform duties.
• Performs other duties as required.

Area of selection/Eligibility:
Open to external applicants eligible to work in Jordan and individuals currently occupying an indeterminate or term position in the Mission who meet all of the essential qualifications and whose applications are received by the closing date.

Essential qualifications
Education:
• Bachelor’s degree or an acceptable combination of education, training and experience

Language:
• Fluency in English (read, write and speak)

Experience:
• Minimum 1 year of recent* experience working in an office environment with a focus on general administration and client service in a medium to large size organization
• Minimum six months of recent * work experience dealing with the public both in person and through written correspondence.
*Recent is defined as experience gained within the last 3 years.

Knowledge:
• Knowledge of general office procedures and practices
• Knowledge of text preparation and formatting, handling correspondence, letters, e-mails and filing.
• Knowledge of software packages: Windows, Microsoft Outlook, Microsoft Word and Excel.

Asset Qualifications
Preference may be given to candidates who have the following asset qualifications:
• Fluency in Arabic (oral and written)
• Fluency in French (oral and written)
• Experience working for a foreign embassy or international organization (e.g., The International Organization for Migration)
• Experience working at the Canadian embassy, or at a visa application Centre, on immigration-related issues.
If candidates meet the factors listed in the asset qualifications they must also clearly demonstrate how they meet these factors in their covering letter.

Operational Requirements:
• Must be willing to work occasional irregular hours and overtime and sometimes be available on call outside normal business hours.
• Please note annual leave may be restricted at certain times due to operational requirements.
• Required to undergo training
• As a member of the Canadian diplomatic mission, required to adhere to Canada’s Code on Values & Ethics.
Conditions of Employment:
• Applicants must hold a valid working authorization covering the period of employment.
• Obtain and retain an enhanced reliability clearance (security clearance).  The appointment of the successful candidate will be subject to Medical Clearance and Reliability Check (RC) obtained by the Administration and Security sections of the Embassy
